The Clinic Operations Edit: How to Choose a Booking System for Your Clinic

Welcome to The Clinic Operations Edit – our new monthly article designed to help you with the behind-the-scenes operations of running a successful clinic.

Each month, I’ll be sharing practical advice, things I’ve learnt from working with clinic owners, and ways you can make your business run that little bit smoother.

And we’re starting with something I deal with A LOT:

Booking systems.

Choosing a booking system for your clinic can be tough. There are literally so many out there, all promising different things, and quite frankly, it can feel like a bit of a minefield.

The biggest thing to remember is that what works brilliantly for one clinic might be completely wrong for another.

So, before you sign up for the system everyone else seems to be using, here are the things I think you should consider.

Always have a demo

This is probably my biggest piece of advice.

Always, always have a demo before committing to a booking system.

Even if you have an assistant, practice manager or operations manager who will be setting everything up for you, I still think the clinic owner should see the system in action.

Why?

Because ultimately, it needs to work for your business.

Something can tick every box on paper and still feel completely wrong when you actually start using it. You might hate the layout. You might find it unnecessarily complicated. Something that’s important to you might take five steps when you expected it to take one.

A demo gives you the opportunity to actually see how the system would fit into the day-to-day running of your clinic before you start moving client data, appointments, forms and everything else across.

Trust me – changing your mind afterwards is much more painful.

Work out what you actually need first

Before you start comparing clinic booking systems, sit down and work out exactly what you want yours to do.

Not what someone on Instagram told you that you need.

What your clinic actually needs.

For example:

  • Do you need automated consent forms and aftercare?
  • Do you want deposits or card capture?
  • Do you need multiple practitioners to manage their own diaries?
  • Do you want clients to be able to reschedule their own appointments?
  • Do you need stock management?
  • Do you want email or SMS marketing built in?
  • Would AI-powered booking management actually benefit your business?
  • Do you need reporting that allows you to properly understand how your clinic is performing?

Once you know your non-negotiables, your search becomes much easier.

I’d actually split your list into must-haves, nice-to-haves and things you don’t really care about.

Otherwise, it’s very easy to get sold on an impressive feature during a demo that you’ll probably never use.

Then look at the price

Notice that price isn’t the first thing I’ve mentioned.

Of course, cost matters. Every clinic has overheads and there’s absolutely no point paying for software that’s unnecessarily expensive for what you need.

But I also wouldn’t choose a booking system simply because it’s the cheapest.

Your booking system is one of the main operational systems within your clinic. It’s responsible for helping clients book, managing appointments, taking payments and, depending on the platform, potentially much more.

If the right system saves you hours of admin, reduces missed appointments and makes it easier for clients to book with you, it should make that investment back.

What I would look carefully at are the additional costs.

The headline subscription price isn’t always the full story.

Check payment processing fees, additional practitioner charges, SMS costs, marketing features, integrations, deposits, additional locations and any paid add-ons.

A £50-a-month system can suddenly look very different once everything you actually need has been added.

Do you need help getting clients through the door?

Another big difference between booking platforms is how involved they are in actually helping clients find you.

Some systems are essentially there to manage your existing bookings.

Others operate more like a marketplace, where clients can search for treatments and discover clinics and practitioners through the platform itself.

Some also offer built-in marketing tools, email marketing, automated communications and additional account management support.

Neither approach is necessarily better.

It depends on what you need.

If you’re an established clinic with a strong client base and your own marketing strategy, being discoverable through a marketplace might not be particularly important to you.

If you’re growing and want additional support bringing new clients through the door, it could be a much bigger selling point.

Be realistic about how techy you are

Please don’t go headfirst into an incredibly advanced system if, quite frankly, you’re never going to use half of it.

I’ve seen businesses invest in systems with amazing capabilities only to continue doing things manually because nobody understands how the software works.

More features don’t automatically mean better operations.

If technology isn’t your strong point, ease of use should be high on your priority list.

It’s much better to have a relatively simple booking system that you and your team actually use properly than an all-singing, all-dancing system that everybody avoids because nobody knows what they’re doing.

You can always move to something more advanced as the business grows.

Look at it from your client’s side too

It’s very easy to choose software based entirely on what the back end looks like.

But your clients are going to interact with it too.

Go through the booking journey as though you’re a client.

  • How many steps does it take to book?
  • Is it obvious what they need to click?
  • Can they easily see their upcoming appointments?
  • Do they receive a text or email confirmation?
  • Can they reschedule if you allow this?
  • Is there an app?
  • Does the booking page look professional and fit with the standard of your clinic?

Most importantly: is it easy?

You don’t want to spend time and money marketing your clinic, get someone all the way to the point of booking and then lose them because the booking process is a nightmare.

Think about the clinic you want in two years – not just the one you have today

This is probably one of the most overlooked parts of choosing booking software for a clinic.

Future-proof it.

You might have one practitioner and one treatment room now, but what are your plans?

  • Could you bring in more practitioners?
  • Open a second location?
  • Introduce an online shop?
  • Start selling products?
  • Add memberships or packages?
  • Offer training?
  • Change the way practitioners are paid?

You don’t need software capable of doing absolutely everything imaginable, but you do need to think about where your business is going.

Changing a booking system once you’ve got thousands of client records, treatment notes, forms, payments and future appointments sitting inside it is a very different job from changing one when you’re just starting out.

So don’t just ask:

“Does this work for my clinic now?”

Ask:

“Will this still work for the business I’m trying to build?”

The bottom line

There isn’t one best booking system for every clinic.

And that’s exactly why I’d be wary of choosing one simply because another clinic owner recommends it.

Start with your business.

Work out what you need, what your team needs, what your clients need and where you want the business to go.

Then book the demos, ask lots of questions, understand the real cost and actually test the client journey before making your decision.

Your booking system sits at the heart of a huge part of your clinic operations.

Choose it like an investment in the business – not just another monthly subscription.
